Privacy Policy

Simple Trainer ("Simple Trainer," "we," "us," or "our") is operated by Spoon Seller LLC, a Virginia limited liability company. This Privacy Policy explains what information we collect through the Simple Trainer mobile apps, Apple Watch app, web dashboard, and related services (together, the "Service"), how we use it, and the choices you have.
If you do not agree with this policy, please do not use the Service.
Simple Trainer connects trainers and their clients. Some information is intentionally shared between a client and the trainer they are connected to — that sharing is the core purpose of the Service and is described below.
1. Information we collect
a. Information you provide
- Account information — your name, email address, and password. Passwords are stored only as a salted hash (argon2id); we never store your password in readable form.
- Profile information — time zone, unit preferences (lb/kg, mi/km), and an optional avatar.
- Trainer workspace (trainers only) — business name, brand accent color, logo, a welcome message, and certifications you choose to list.
- Client profile (clients only) — your fitness goals and an optional goal note.
- Coaching content — programs, workouts, exercise prescriptions, and exercises you create.
- Logged activity — workout logs (sets, reps, weight, RPE, notes), habit check-ins, nutrition entries (meal notes, optional protein targets), and body-progress metrics (e.g., body weight, measurements).
- Photos and video — progress photos, form-check videos, nutrition photos, avatars, and logos that you choose to upload. Progress photos and nutrition photos are treated as sensitive information.
- Messages — the content of messages exchanged between a client and their connected trainer, including any attachments.
- Trainer notes — private notes a trainer records about a client. These are never shown to the client.
- Support communications — information you send us when you contact support.
b. Information collected automatically
- Device information — device type, operating system, and app version, used for reliability and support.
- Push notification tokens — if you enable notifications, so we can deliver reminders and message alerts.
- Sync and diagnostic data — timestamps and technical metadata needed to synchronize your data across devices and to keep the Service working offline and online.
We do not use third-party advertising trackers, and we do not sell your personal information.
c. Payment information (trainers)
Trainer subscriptions are processed by our payment processor (Stripe) or by the Apple App Store / Google Play, depending on how you subscribe. We do not receive or store your full card number. We retain only a subscription status and the processor's customer/subscription identifiers.
2. How we use information
We use information to:
- Provide the Service — create accounts, connect trainers and clients, deliver programs, record logs, sync data across your devices, and enable messaging.
- Personalize the client experience with the trainer's branding.
- Send service-related and (if enabled) reminder notifications.
- Process subscriptions and enforce plan limits (trainers).
- Maintain security, prevent abuse, and debug problems.
- Comply with legal obligations.
We process this information to perform our contract with you, for our legitimate interest in operating and securing the Service, and — for sensitive data and notifications — on the basis of your consent, which you can withdraw at any time.
3. How information is shared
- Between connected trainer and client. When a client accepts a trainer's invite, the coaching content, logs, habits, nutrition entries, progress metrics, progress photos, and messages relevant to that relationship are shared with that trainer. Trainer-private notes are not shared with the client. A client's data is never visible to other clients, and a trainer can only see the data of clients connected to them.
- Service providers (processors). We use vetted providers to host our database, store media, process payments (Stripe), and deliver push notifications (Apple/Google). They may process data only on our instructions.
- Legal and safety. We may disclose information if required by law or to protect rights, safety, and the integrity of the Service.
- Business transfers. If we are involved in a merger, acquisition, or asset sale, information may be transferred subject to this policy.
We do not sell or rent personal information, and we do not share it for cross-context behavioral advertising.
4. Your choices and rights
- Access and export. You can export your own data from within the app (Settings) or by contacting us. The app provides a machine-readable export of your account data.
- Correction. You can edit your profile and content in the app.
- Deletion. You can request account deletion in the app (Settings → Delete account) or by emailing us. See the Data Deletion & Export page for what is removed and the timeline.
- Notifications. You control notification categories and quiet hours in Settings, and at the OS level.
- Withdraw consent. You can stop providing optional data (e.g., photos) at any time.
Depending on where you live (for example, the EEA/UK or certain US states such as Virginia and California), you may have additional rights, including the right to object to or restrict processing and the right to lodge a complaint with a supervisory authority. We honor these rights regardless of your location. To exercise any right, email support@simpletrainer.io.
We do not discriminate against you for exercising your privacy rights.
5. Data retention
We keep personal information for as long as your account is active and as needed to provide the Service. When you delete your account, we delete or de-identify your personal data within 30 days, except where we must retain limited records to comply with legal obligations, resolve disputes, or enforce our agreements. Media files (photos/video) are deleted on a rolling lifecycle; by default uploaded media is retained no longer than necessary for the Service and is removed within 30 days of account deletion.
If a trainer–client relationship ends, each party retains the data they own (a trainer keeps the programs they authored; a client keeps their own logs and photos), and the shared visibility ends.
6. Security
We protect information using industry-standard measures: encryption in transit (TLS), hashed passwords, access tokens stored in the device keychain/keystore, signed and time-limited URLs for media, role-based authorization that enforces the trainer/client boundary on the server, and access logging. No method of transmission or storage is perfectly secure, but we work to protect your information and to promptly address any issues.
7. Children's privacy
The Service is intended for adults (trainers and their clients). It is not directed to children under 16, and we do not knowingly collect personal information from children under 16. If you believe a child has provided us information, contact us and we will delete it.
8. Health and fitness information
Simple Trainer is a coaching and accountability tool, not a medical service. Fitness, body, and nutrition information you record is used only to provide coaching features and is not used to make medical decisions. See our Health & Fitness Disclaimer.
9. International users
The Service is operated from the United States. If you use it from outside the US, you understand that your information will be processed in the US, which may have different data-protection laws than your country.
10. Changes to this policy
We may update this policy from time to time. If we make material changes, we will update the "Effective date" above and, where appropriate, notify you in the app. Your continued use of the Service after changes take effect means you accept the updated policy.
